- Transparent Compensation: Built-in support for multi-currency salary ranges and explicit funding source attribution.
- Visa & Relocation Clarity: Clear visa sponsorship flags to help international candidates identify eligible positions quickly.
- Automated Deadlines: Time-sensitive urgency alerts and automatic transition to closed status when the application window shuts.
- Verified Institutional Profiles: Candidate applications connect to cryptographically verified ORCID records and verified email affiliations.

3. Application Channels & Workflows
Different institutions and grant programs operate under different recruitment policies. OWL supports three distinct application channels:
External University Portal
Directs applicants to your university's official HR portal or recruitment system (e.g. Workday, Taleo). Ideal for standard institutional compliance.
Direct Email to PI / Lab Manager
Provides pre-configured application instructions with designated supervisor contact emails and optional vacancy reference codes.
On-Platform Application Submission
Allows registered researchers to submit their verified academic profiles, CVs, and publication lists directly through OpenWorldLab.
4. Compensation, Funding & Visa Sponsorship
Scientific positions demand clarity regarding salary scales and international eligibility:
- Salary Range Transparency: Specify minimum and maximum annualized salary with ISO currency selection (e.g. £38,000 - £44,000 GBP or $65,000+ USD).
- Funding Grant Attribution: List the sponsoring grant or body (e.g. Wellcome Trust Discovery Award, NIH R01, NSF CAREER).
- Visa Sponsorship Flag: Explicitly declare whether your institution provides visa sponsorship and relocation support for international scholars.
- Academic Benefits: Detail conference travel allowances, equipment budgets, teaching responsibilities, and pension contributions.
5. Automated Deadlines & Urgency Tracking
To avoid stale listings and missed candidate deadlines, OWL computes real-time urgency:
Open / Standard
Standard listing active and accepting candidate applications.
Closing Soon
Highlighted on job discovery feeds to encourage prospective applicants.
Urgent
Prominent urgency callout (e.g. "Closes in 3 days" or "Closes today").
Closed / Expired
Automatically closed once the deadline timestamp expires; application submissions disabled.
6. How to Post & Manage Lab Vacancies
Step-by-Step Posting Guide for Lab Admins
- Ensure you hold the Post Job Listings privilege — included in the Owner, Admin, and Moderator presets, and grantable to any member (see Group Roles & Privileges).
- Open the Jobs tab on your group page and click Post New Job.
- Specify the role title (e.g. Postdoctoral Fellow in Cryo-EM Structural Biology) and select the Position Type.
- Set the primary work mode (On-site, Hybrid, or Remote) and location details.
- Enter clear compensation details: salary range, currency, funding grant source (e.g. ERC Advanced Grant), and visa sponsorship eligibility.
- Select your preferred Application Method (External URL, Direct Email, or Internal Portal).
- Set the firm Application Deadline and publish the listing.
Note: If a position is filled prior to the deadline, anyone holding Manage Job Listings can mark it as Filled or Closed at any time. Because recruitment rights are granted per member, a lab manager or recruitment coordinator can run the job board without holding any other administrative rights — see Fine-Grained Privileges.
7. Information for Applicants & Job Seekers
Researchers seeking new opportunities can browse and filter positions on the global Academic Jobs Board:
- Filter by Discipline: Browse positions tailored to your exact sub-specialty (e.g. Physics / Quantum Optics).
- Filter by Work Mode: Search strictly for remote, hybrid, or on-site opportunities.
- Visa Sponsorship Filter: Easily identify laboratories offering international scholar sponsorship.
- Bookmark & Share: Save upcoming openings to your account and track upcoming deadlines in your dashboard.
