4. Registration, Ticketing & Pricing
OpenWorldLab supports diverse attendance workflows, ranging from free departmental seminars to paid international conference admissions:
- Free vs Paid Admissions: Mark events as free or provide clear pricing ranges (minimum and maximum admission fees) with multi-currency support (USD, EUR, GBP, etc.).
- Capacity Limits: Specify maximum venue or stream capacity to communicate room constraints to prospective attendees.
- Registration Deadlines: Set a strict registration cutoff date and time. OWL automatically highlights upcoming deadlines and disables registration links once passed.
Open Attendance (No Registration)
Best for public lectures, regular lab seminars, and open webinars. Attendees can simply walk in or click the stream link with no pre-registration required.
External Registration Portal
Directs attendees to your official ticketing platform or university portal (such as Eventbrite, Indico, ConfTool, or institutional registration pages).
Email RSVP & Direct Contact
Allows attendees to RSVP or request access credentials directly via a designated organizer email, ideal for capacity-limited sessions.

6. Temporal Lifecycle & Real-Time Statuses
To guarantee accuracy across time zones, event statuses are calculated in real time by comparing the scheduled start and end timestamps against the current clock:
Upcoming
Scheduled event whose start date has not yet arrived. Displayed in active discovery feeds.
Happening Now
The event has begun and has not yet reached its scheduled conclusion. Highlighted as live for attendees.
Completed
The scheduled end time has elapsed. Automatically transitioned to the past event archive without manual intervention.
Cancelled
Explicitly cancelled by group administrators. Prominently flagged on search feeds and event detail pages.
7. How to Announce & Manage Events
Step-by-Step Event Creation for Group Members
- 1 Ensure you hold the Announce Events (
events.write) privilege in your group (granted by default to Owners, Admins, and Moderators; see Group Roles & Privileges). - 2 Navigate to your group page, open the Events tab, and click Announce New Event (or click Create > Event in the navigation header).
- 3 Enter an informative event title (e.g. International Symposium on Quantum Nanomaterials 2026) and select the appropriate Event Type.
- 4 Choose your Delivery Format (In-person, Online, or Hybrid).
- 5 Select the Time Zone and set the exact start and end date and time in your local wall-clock time.
- 6 Provide physical venue address details (for on-site/hybrid) or the virtual meeting link (for online/hybrid).
- 7 Select the Registration Method (Open, External URL, or Direct Email) and configure ticket pricing or capacity limits.
- 8 Add invited Speakers & Presenters with their titles, affiliations, and web profiles.
